We are seeking a positive, energetic, and organised receptionist to join our administration team in August 2024. As a key member of our team, you will be responsible for greeting parents, students, employees, and visitors at the school reception, answering phones, and assisting with various administrative tasks. This is a full-time position located at our High School Campus in Østerbro.

Role Objectives
- Serve as a contact point for visitors, students, and staff with a professional, helpful, and friendly demeanour, fostering positive ongoing relationships.
- Act as an ambassador for the International School of Hellerup by maintaining a positive image of the school.
- Provide a flexible, productive, and responsive operations service for the management team, contributing to the smooth running of the school.
Main Tasks & Responsibilities
Front Desk Duties:
- Welcome and sign in/out all visitors.
- Answer incoming phone calls and queries from students, parents, and other stakeholders.
- Receive incoming goods/post and forward them to the appropriate staff.
- Establish and manage access systems, including handing out, collecting, and registering access cards and keys.
- Manage school trips, including booking transportation and arranging ticketing requirements.
- Handle school and material orders, including online orders.
- Manage youth card (ungdomskort) distribution.
- Perform termly administrative tasks, such as preparing for school closures, school photographs, events, and meetings, and sending out holiday notifications.
- Coordinate with the Communications Officer and Hellerup Reception when needed.
- Address questions related to personal matters, hiring, contracts, salaries, and job descriptions to the Chief Operations Officer.
Office Administration Duties:
- Provide administrative support to the operations team and other staff members for long-term projects.
- Produce reports, presentations, and briefs as needed.
- Administer Uni-C log for students.
- Manage Lectio (register new staff and students) and Managebac.
- Administer SPSU and SU for High School students.
- Archive student applications, documents, and data for STX students.
- Manage exam administration.
- Coordinate fire procedures and documentation with the STX Principal.
- Serve as the contact person for external suppliers.
- Assist with graduation preparations.
The successful candidate will:
- Have prior experience as a receptionist or in a related field.
- Have excellent written and verbal communication skills.
- Have a high fluency in written and spoken English and a working knowledge of written and spoken Danish.
- Demonstrate strong collaborative and interpersonal skills.
- Have good time management skills.
- Be organized and reliable.
- Be caring and compassionate
