We are looking for a proactive, self-driven and detail-oriented Executive Assistant to provide effective and comprehensive administrative support to [xxxxx]’s Senior Leadership Team.The roleAs an Executive Assistant at [xxxxx] you will have impact on our organization’s efficiency through the delivery of professional administration and support to the SVP’s. You will be in a central role with various responsibilities and a wide range of key stakeholders. You will report into and work together with our Executive Personal Assistant to the CEO.Your primary responsibilities will be to:
  • Act as a point of reference for internal and external contacts and stakeholders.
  • Handle administrative tasks to contribute to a smooth and effective handling of daily activities.
  • Plan and implement business rhythm activities, including the annual wheel activities.
  • Maintain calendars for Senior Leadership Team.
  • Organize travel arrangements.
  • Coordinate event bookings and other ad hoc requests.
  • Prepare logistics around internal events, town halls and summits in collaboration with IT and ensure smooth execution.
  • Your profileWe are looking for a candidate who values discretion, understands confidentiality, and thrives in an agile business setting. You are self-motivated and eager to learn, with a natural curiosity suited to a diverse commercial environment. You approach tasks systematically and independently, demonstrating initiative and foresight.We expect that you have:
  • Ideally a BSc in business administration or language.
  • Prior experience as an Executive- or Personal Assistant is a prerequisite. Preferably from an international company.
  • Advanced organizational and time management skills and the ability to work under time constraints and meet tight deadlines.
  • Proficient at maintaining clear lines of communication and building rapport with a diverse team of business stakeholders.
  • Flexibility and adaptability to prioritize many different simultaneous tasks.
  • Great attention to details.
